This policy explains what personal data Coppi collects, why we collect it, who we share it with, and the rights you have over it.
Coppi is operated by Coppio Ltd, a company registered in England & Wales (company number 17327561), registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. For the purposes of UK GDPR and the Data Protection Act 2018, Coppio Ltd is the data controller for the data described below.
1. What we collect
| Category | What it includes | Why |
|---|---|---|
| Account | Email address; a password (stored only as a secure hash by our authentication provider) or, if you sign in with Google, your Google email address and basic profile. | To create and secure your account and sync your data across devices. |
| About you | Your first name, if you choose to add one in Settings. This is optional and the app works without it. | To personalise the app. |
| About your dog | Name, breed, date of birth or estimated age, sex, weight, the training challenges you select, and any photo you add. Photos are stored privately, readable only by your account, so they survive reinstalling the app and appear on your other devices. | To tailor training, health guidance and AI coaching to your dog. |
| Health records | Feeding entries, weight history, medications and dose confirmations. | To provide the health and diet tracking features you choose to use. |
| Training activity | Lessons completed, streaks, badges and journey progress. | To track progress and recommend what to train next. |
| AI conversations | Messages you send to the AI coach and its replies, plus a short per-dog "memory" (a summary and a list of facts) derived from those conversations. | To answer your questions and so coaching improves over time rather than starting from scratch each session. |
| Voice | Audio recorded when you use a voice feature. It is sent for transcription, used to answer your question, and not stored by us — we keep only the resulting text, as part of your conversation. We never build a voice profile. | To let you ask questions out loud and receive spoken coaching. |
| Consent records | When you accept a safety disclaimer: which tool, the wording version, a timestamp, your platform and the app version. | To evidence that safety information was presented and accepted. |
| Technical | Your platform and app version, recorded alongside the consent records above. Our servers also keep short-lived operational logs of requests. We do not run third-party analytics or tracking. | To keep the app working, diagnose faults and keep it secure. |
Some information is stored only on your device and never reaches our servers — including the behavioural coaching sessions you start in the app. Deleting the app removes them.
2. Our legal bases
- Performance of a contract — creating your account, storing and syncing your dog's records, and delivering the features you ask for.
- Consent — access to your microphone and photos, and push notifications. You can withdraw consent at any time in your device settings or in the app.
- Legitimate interests — keeping the service secure, preventing abuse, diagnosing faults, and improving the product. We balance these against your rights.
- Establishing or defending legal claims — retaining records of accepted safety disclaimers.
3. Who processes your data
We do not sell your data and we do not use it for third-party advertising. We use the following processors to run the service:
| Provider | Purpose | Location |
|---|---|---|
| Amazon Web Services | Account sign-in, database storage, data sync and service emails. | EU (Stockholm) |
| Microsoft Azure | Our secure API gateway, plus AI chat, speech transcription and text-to-speech for voice features. | EU regions |
| Anthropic | Generating AI coaching responses. Your message and your dog's context are sent to produce a reply. | United States |
| Expo (EAS) | App delivery and over-the-air updates. | United States |
International transfers
Where a provider processes data outside the UK or EEA, that transfer is covered by appropriate safeguards — the UK International Data Transfer Addendum and/or the EU Standard Contractual Clauses — together with additional technical measures.
A note on AI conversations. When you use the AI coach, the content of your message and your dog's profile context are sent to our AI providers to generate a reply. Please don't include information you would not want processed this way — for example details about other people.
4. How long we keep it
- Account and dog records — for as long as your account is active. When you delete your account, they are deleted.
- Deleted dogs — retained briefly in a "recently deleted" state so you can restore them, then removed.
- Consent records — retained for up to six years after your account closes, which is the limitation period for claims in England & Wales. This is the one category we keep after deletion, and only for legal-defence purposes.
- On-device data — removed when you delete the app or use "Reset & Start Over" in Settings.
5. Your rights
Under UK GDPR you have the right to:
- access a copy of your personal data;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to how we process it;
- receive your data in a portable format;
- withdraw consent at any time; and
- complain to the Information Commissioner's Office (ico.org.uk).
You can delete your account and its data at any time from Settings → Delete Account in the app, or see our account deletion page. To exercise any other right, contact us using the details below. We respond within one month.
6. Children
Coppi is intended for dog owners aged 16 or over. We do not knowingly collect personal data from children under 16. If you believe a child has given us their data, contact us and we will delete it.
7. Security
Data is encrypted in transit. Your records are stored in access-controlled cloud infrastructure and are scoped to your account, so other users cannot read them. Our AI provider keys are held server-side and never shipped in the app. No system is perfectly secure, but we take these safeguards seriously and review them as the product grows.
8. Not veterinary advice
Coppi provides training and general wellbeing guidance. It is not a substitute for professional veterinary advice, diagnosis or treatment, and its health tools do not diagnose conditions. If you are worried about your dog's health, contact your vet. In an emergency, contact an emergency veterinary service immediately.
9. Changes to this policy
If we make material changes we will update the date at the top of this page and, where the change is significant, tell you in the app.
